Green Mechanical, a rapidly expanding specialty contractor based in the Southeast, has continually explored ways to grow their business efficiently through technology adoption and strategic regional expansion. As a growing business managing complicated multi-state requirements and prevailing wage compliance, Green Mechanical needed a solution to simplify and automate their back-office processes while giving them the peace of mind to expand their operations into new regions.

The Challenge

As Green Mechanical’s workforce grew into new states and prevailing wage requirements became more onerous, their manual processes and their siloed legacy systems reached a breaking point. After making the decision to move the business onto Sage Intacct, Jason Chenoweth, the company’s CFO and COO, described how it became obvious that the next step in Green Mechanical’s evolution was to modernize their payroll, HR, and time entry systems. The company had struggled for years to find the right solution to escape manually entering paper time cards and juggling disconnected HR and payroll systems.

“Once we moved to Sage Intacct, we were looking for a solution that would get us out of the paper time card world which we had been in forever. We had always been looking for someone to do HR and payroll both, but it was becoming increasingly difficult to say who's going to do payroll and who's going to do HR. So, because they were splitting time between those two that left the taxes and everything else to me.”

The Solution

Green Mechanical partnered with Miter, an all-in-one people management platform designed specifically for construction companies. Miter's comprehensive and connected suite of products, including Payroll & Compliance, Human Resources, Workforce Management, and Expense Management allowed Green Mechanical to implement a system that solved their most pressing operational challenges and set them up to confidently expand their business.

Key Outcome #1:

Significant Time Savings Processing Payroll

Green Mechanical streamlined their legacy payroll processes by reducing manual data entry into multiple systems. The company reduced the amount of time spent on processing payroll substantially, allowing Jason and the rest of his back-office team to focus on other core business functions.

“It has been an incredible amount of time saving. We now have an HR director who actually spends four and a half days a week on HR and only a half day tying up payroll. I still find myself lost sometimes at the end of the quarter because I'm thinking about taxes before I realize ‘oh, wait, I don't do that anymore.’”

Key Outcome #2:

Escaped Paper Time Cards for Good

Green Mechanical had been attempting to move off of paper time cards for years before partnering with Miter. With Miter, the company has been able to handle time cards electronically, which has not only reduced manual entry and data entry mistakes, but has also improved their employees’ experience.

“Miter finally got us out of the paper time card world. We didn't quite know how it would go over with the supervisors when we said, ‘hey, we're going to bring in this cool new app where employees are going to clock in on their phones, it's going to have geofencing, and all these time cards are going to tie together so you are able to do payroll right here off your iPad, phone, or laptop.’ And actually they adapted really well. It was 100 times smoother than I ever could have imagined.”

Key Outcome #3:

Consolidation of Systems and Simplified Job Costing

Green Mechancial’s process before Miter relied on manually entering data between multiple systems and a lot of work to accurately calculate job costs. With Miter, the company has a seamless integration between all the Miter modules and Sage Intacct, which allows the company to easily allocate each and every cent to the correct job.

“Before Miter, we worked between two entirely different accounting systems trying to tie them together to get the payroll and job costing data we needed. We would go through evaluations with other vendors and we would be told that they had a full integration with Sage Intacct, but they actually didn’t. Once we were introduced to Miter and saw what they could do, that was the magic moment where we said, ‘hey, this is going to do what we need it to do, and this is who we want to do business with.’”

Key Outcome #4:

Streamlined Management of Multi-State Requirements

Before Miter, Green Mechanical struggled juggling the complex requirements of having employees spread out between multiple states and hiring employees in new regions. After Miter, the company is able to hire the best people wherever they are based and take on jobs they otherwise would have hesitated to bid on because Miter handles the complexity for them.

“We suddenly looked up one day and we had employees who lived in Tennessee, Ohio, Kentucky, North Carolina, South Carolina, Georgia, and Florida. We were looking at all that and saying, ‘how are we going to manage knowing what we have to do tax wise for South Carolina and North Carolina? And what are we going to do for these people in Florida? And how does it work in Ohio?’ We looked for a solution that would take care of that for us. Now I don't worry about that anymore. We hire whoever and wherever we want and we know Miter is going to take care of it.”

Key Outcome #5:

Stress-Free Prevailing Wage Management

With Miter, Green Mechanical is able to tackle prevailing wages jobs with confidence. The company no longer struggles with complex requriement management and is instead focusing on what they do best: delivering high-quality work for their customers.

“Miter’s prevailing wage payroll really helps manage Davis Bacon now that the funding is flowing through Built Back Better. We were just doing a gym for a small school that was Davis Bacon wage. Well once again, no problem. We just collect the data as usual and it gets taken care of by Miter. There are so many things that we don't worry about now because we know Miter will get it done.”

Conclusion

Implementing Miter has been transformative for Green Mechanical. Miter allowed the company to achieve their short-term objectives of moving away from paper time cards and consolidating HR and payroll systems with a strong integration to Sage Intacct. However, Miter has also been a major catalyst for Green Mechanical’s rapid expansion by enabling the company to hire the best talent wherever they may be, take on any job without worrying about compliance requirements, and freeing up the team’s time to focus on powering growth instead of handling manual data entry.

Jason described the company’s experience with Miter: “We have been with Miter for over a year now and honestly, I wouldn't go back and change a thing. We are branching out into multiple states for the first time in a long time.”
